Just wondering if any of you can offer guidance on this? I had to fill out a w9 today, with the fillable fields you can type into, but the client said I should also be able to apply my e-signature if I had one.

I went to the Hobo LaughingF and tried to create one, but to no avail.

Any ideas? I want to function in the 21st Century!

Hi there,

I use digital signatures all the time -- it's part of acrobat, but not the free reader. So, if you have acrobat (the full version) you look for the word "sign" and a pen in the toolbar. If you don't have a digital identity, it will help you create one.

It will give you a box that gives you three choices: certify document, continuing signing, or cancel. For a w9, you just want to continue signing.

Another box will pop up that will give you two choices: create a new signature field to sign, or create a new invisible signature. Choose "create a new signature field to sign"

Another box will tell you to click and drag on an area of the paper (or point you to the place where you are supposed to sign). draw that box and another box will appear with an empty box inside it. This is where your eventual digital sig will appear. Click on "add digital id" below the open box. It will step you through the process of creating an ID and then take you back to actually sign the document.

I keep a signed, scanned .jpg on my computer. When someone asks for it, I just send that one to them. No matter that it was dated in march.

Jeff,

I assume you mean of the entire W-9 form. I do that also, and for those clients who (every now and then) want something more up-to-date I have a fax machine that I use for those every one-in-a-while outbound faxes.

I have a signed/scanned W-9 from June that I use as well.

Caryn, if you have a scanner, print out the filled in W-9, scan it & save it. You'll be able to re-use it.
OR...you can ALSO take a digital picture of the sifned one & save it as a .jpg and email that one as well.

I also keep a PNG of my signature handy if I need to sign something in Word.

We also connect a "vendor info" page with our digital W-9's. It has all the necessary info someone would need to drop us into their accounting program, company name d/b/a, phones, billing e-mail, etc.

Update the date on your W-9 annually though. I've found many want a new one every fiscal year, and new clients will not take one more that 12 months old.

Ah, CC,, therein lies the problem. I don't have Acrobat. Just the reader. Darn, when I had my corporate job, I had the full shebang on my computer. Oh well.

I don't have a scanner either. My hubby does at his office, but that's too much like work to get over there, remember the w9, blah blah blah. Smile

I usually just type in the fillable fields, print it out, and fax it. But apparently, this client doesn't have a fax. He said that if I didn't have a digital signature so I could email it back, to just send it snail mail. Which is fine... but I'd rather try to have a digital signature, you know, to be cool and all.

I know, I know... I'm not lazy, just very forgetful. Seriously, if you asked me what commercials I did last week, I'd have to think a while before I told you. If it's not on a list to do, it's not gonna get done.

You should see my list b/c of all the little things on it!

Sadly, I used to have a bizarrely accurate memory, but no more. I joke that I would take ginko biloba for my memory, but I can never remember to take it (which is actually true).
